How To Add a Hubspot CRM Contact to RedCappi
In this article, we explain how you can use the RedCappi Zapier Integration to add a Hubspot CRM contact to a RedCappi Autoresponder, which automatically triggers a series of emails, each time the contact’s field (property) is modified in the Hubspot CRM. If you prefer, you could also add a Hubspot CRM contact to RedCappi anytime a contact is created by using that option in the trigger. What You’ll Need
Before creating this Zap, you’ll the following:
- A paid Zapier Account that allows you to build (3) step Zaps (cost ~$20/month)- there is a way to do this using a free Zapier account as explained in FAQ #2 at the bottom of this page
- Free Hubspot CRM Account
- Free RedCappi Account
Creating a Custom Property in Hubspot
- Login to Hubspot & Create a custom property entitled ‘Date Added to RC Autoresponder’. Note, you can create the Zap based upon any property (field) change in Hubspot CRM, but in this case, we’ll create a custom field in Hubspot CRM to achieve this.
- If you prefer to create a rule based upon Hubspot’s native Lifecycle Stage property (field), you can simply use property instead of the one we create below
- Click Settings, then Contacts & Properties, then manage
- Click the blue Create New Property button
- Create a property entitled Date Added to RC Autoresponder w/ following options selected
- Label- Date Added to RC Autoresponder
- Field Type – Date Picker
- Description- The date a contact was added to a RedCappi Autoresponder
- Save Property
Creating the Trigger in Your Zap
Note- in this example, we teach you how to create a contact in Redcappi each time a property value changes. You can also automatically create a contact in RedCappi when a deal is created in Hubspot or when a contact is created in Hubspot
- Login to Zapier click create a Zap
- Type Hubspot CRM in the search box under ‘Choose a Trigger Ap’
3. Under Choose a Trigger, click New Contact Property Change, then click save & continue
4. Login with your Hubspot CRM credentials & Make sure you test the connection
5. Click save & continue
6. Select the property we created above entitled Date Added to RC Autoresponder then click continue
7. Click fetch & continue
8. You should get a green ‘test successful’ option
Creating Your Filter
- Under your next step type ‘Filter by Zapier’ in the search box
- Click save & continue in the only continue if… screen

- Click the dropdown & type ‘Date Aded to RC autoresponder’ which is the field we added above. In the center function select (date/time) After, and in the right column enter the date 1/1/2001. You can make this whatever date you like, we’re just using an arbitrary date in the past
Adding Your Action (add contacts to RedCappi)
Next, we’ll add the contact to a list in RedCappi which can point directly to an autoresponder which will send the contact an email sequence based upon the time intervals that you prescribe.
- Click the + button on the left in Zapier to add an action
- Type RedCappi in the search box
- Select create contact to create a contact in a list
- click save & continue
- Select the redcappi list you’d like to add this contact to (note- make sure it’s a list that’s connected to the Autoresponder from which you’ll be sending the emails)
- In the second dropdown menu under email address, select ‘New Contact Property Change’ next to the Hubspot CRM icon, then select ’email’
- The only required fields are email & list, but if you would like to map other fields from the Hubspot CRM into RedCappi, select the fields you desire, then click the blue continue button at the bottom of the screen
- Click create & continue to send a test record from Hubspot CRM into RedCappi
- You’ll receive a test confirmation once your test successfully completes
- You can check the list in RedCappi to make sure the contact was added as expected
Doing a Live Test
- The last step is to do a live test
- Make sure you login to Zapier & turn your Zap on
- Login to Hubspot, open any contact, add today’s date to the ‘Date Added to RC Autoresponder’ property
- Grab Yourself a Cup of Coffe :-). It will take 15 minutes for the Zap to run
- Log back into RedCappi & make sure the contact(s) have been added to your list
- Pat yourself on the back. You just designed a data integration that could generate thousands of dollars in revenue for your company. Great work
FAQs
- If a contact already exists in redcappi, would they still be added from Hubspot CRM to my specified list if I update the field in Hubspot CRM? Yes, a contact in RedCappi can be added to multiple lists
- Is there a way to create this Zap using a free Zapier account? Yes, in instead of creating a zapier filter in your Zap above, you would simply create the trigger stating that anytime the property in Hubspot CRM was updated on any contact, the trigger would then fire. Note- if you do this, you cannot filter based upon exact values which we’ve done here. This means anytime the property changed in Hubspot CRM, it would then be added to RedCappi
- Is there a way to create a Zap that adds the Hubspot CRM contact to RedCappi when the Lifecycle Stage property changes in Hubspot? Yes, you would create the trigger & the filter above based upon the lifecycle stage field
- Is there a way to add multiple contacts from Hubspot CRM to RedCappi at a time? Yes, from the Hubspot Contacts screen change your view limit at the bottom of the screen to 100 per page, then select all from the top of the screen by clicking the empty square. Next, select the edit option at the top of the screen and edit the property listed in your Zapier trigger. The RedCappi API will allow you to add 100 records per 30 seconds
How To Add a Hubspot CRM Contact to RedCappi
